CCHRC is seeking a highly organized and proactive Executive Administrator Assistant to support Executive Nursing Home Administrator who oversees the daily operations of a large long term care facility and an assisted living facility. This role entails secretarial projects, gathering information, filing, completing documentation when needed, following Administration rounds, monitoring Administrator implemented plans including compliance oversight, staffing coordination, budget tracking, growth, productivity and development of new services, and more. The ideal candidate is a strategic thinker who is organized, detail-oriented, and capable of anticipating needs to help the Administrator focus on strategic initiatives and high-priority objectives. The ideal candidate will be detail-oriented, able to handle multiple priorities, and capable of working independently while maintaining a high level of professionalism and confidentiality.
Key Responsibilities:
- Provide comprehensive administrative support to the
Administrator.
- Coordinate and prioritize incoming communications, ensuring
appropriate response.
- Prepare and edit reports, presentations, and documents for
meetings and administrative use. Assist with continuous education for key
personnel.
- Assist with tracking key performance indicators and preparing
operational summaries for the facilities.
-Completing time studies for efficiency.
- Serve as a liaison between the Executive Administrator and
nursing home staff, assisted living staff, contracted staff and temporary
staff, ensuring clear communication and timely follow-up on with Administrator.
- Auditing with participation with overseeing contracts and
service agreements as needed.
- Organize and assist coordinating meetings, training sessions,
and events.

- Maintain and organize compliance documentation, ensuring that
all facilities meet state and federal regulations.
- Help manage special projects, initiatives, and continuous
improvement efforts to enhance operational efficiency across facilities.
- High school diploma or equivalent, required; Associates in administrative assistance or accounting, or other related concentration.
- Minimum of one year of experience in an executive
administrative assistant role, preferably in a healthcare or long-term care
environment.
- Strong organizational skills with the ability to multitask and
prioritize effectively.
- Excellent written and verbal communication skills.
- Proficient in Excel, Word, Outlook, and comfortable learning
new software.
- Ability to work independently with minimal supervision,
handling sensitive information with discretion.
- Strong interpersonal skills and the ability to build positive
relationships with staff, residents, and families.
